The orders arrive by e-mail, and someone types them in by hand

ITLine develops custom business management (ERP) systems for trading and manufacturing SMEs: order intake, proforma invoices, invoicing, stock management and a reseller portal in one system, on one database. The work starts with a survey, then proceeds in phases with a fixed scope, and every phase ends with a part running in production.

The situation

The order arrives in an e-mail, someone reads it, looks up the items, types them into a spreadsheet and from there into the invoicing software. At fifty orders a day this still works. At a hundred and fifty it takes two people, and the errors do not come from anyone being careless. They come from the same data being re-keyed six times.

It is not a feature that is missing. It is a system.

What we build

Order intake, proforma invoices, invoicing, stock management, a reseller portal and a webshop: in one system, on one database. After the survey the scope is fixed, priced phase by phase, and at the end of every phase there is something running in production.

If the order arrives as a free-text e-mail, the system reads the line items out of it and matches them against the product master. What is ambiguous it does not guess: it hands it over for review.

Platform integration where it makes sense: Monday, n8n, invoicing software, webshop. We do not replace what already works.

Most orders arrive as free-text e-mail. Extraction is automatic and uncertain line items go for review. Manual entry did not disappear: it turned into review, and that is the difference.

The way they worked had to be exported from an old document management system and carried over into a modern one. The survey was completed; the project did not start, for business reasons. The method we worked out for it has been running elsewhere since.

Common questions

How long does a business management system take?

Not in one go but in phases: at the end of the first phase order intake or invoicing already runs in production, and the other modules build on it. We state the full timeline after the survey, phase by phase, because the amount of process to map differs from firm to firm. The measured pace of one delivered system is in the Measured section above.

What does a custom ERP cost?

The quote is made after the survey, for a fixed scope and priced phase by phase, so the price of each phase is known in advance. What drives it up or down, and what the market charges: What it costs.

Do we have to replace our accounting software or webshop?

No. What works stays, and the new system connects to it: the invoicing software, the webshop and the accounting receive data; we do not replace them. If the survey shows that an off-the-shelf product would serve the company, we say so.

What does the company need to provide?

Someone who knows how orders and invoices flow and has time for the meetings; samples of the real material (e-mails, spreadsheets, documents); and access to the systems we need to connect to. The knowledge base is built from these, and the specification from the knowledge base.

What happens to our data?

The system works on the company’s own database, and the details of data handling (where it runs, which provider processes what, a GDPR data processing agreement) are settled by contract, not by this page. If some data must not leave the company, say so at the survey, because it shapes how the system is built.

What if the AI misreads an order?

It happens, which is why the chain does not end at the model. The system checks every article number against the product master, flags an uncertain line for review instead of guessing, and a person approves before anything has a financial consequence. What is not in it

We do not replace a working system because it is old. If your accounting software is good, it stays: we build next to it. And if it turns out a boxed product will serve you, we say so.
