The situation

The order arrives by e-mail. Someone copies it into a spreadsheet, then into the invoicing tool, then into the stock sheet.

At fifty orders a day this still works. At a hundred and fifty it takes two people, and the same data is re-keyed six times. That is where the errors come from, not from carelessness.

What you get

One system from order to invoice: order intake, proforma invoices, invoicing, stock and a reseller portal, on one database.

The system reads orders that arrive by e-mail and matches them to the product master. What it is unsure of, it puts up for review instead of guessing.

It is built in phases with a fixed scope. Every phase ends with a part that runs live, and each phase's price is known in advance.

Where it is not sure, it asks

The system adds the item number to every line it reads from the email. Where two items could fit, it does not choose for you: it flags the line, and a colleague decides.

Manual entry does not disappear; it turns into checking.

How it differs from an off-the-shelf ERP

  • An off-the-shelf system covers most processes, and a spreadsheet covers the rest. We build exactly that rest.
  • What works stays: the invoicing tool, the webshop and accounting receive data from it, and we do not replace them.
  • If the assessment shows an off-the-shelf product is enough, we say so.

How long does a business management system take?

In phases: at the end of the first one, order intake or invoicing already runs live. We state the full timeline after the assessment, phase by phase. The measured pace of one delivered system is under Measured above.

What does a custom ERP cost?

The quote follows the assessment, for a fixed scope and priced by phase, so each phase's price is known in advance: What it costs.

Do we have to replace our accounting software or webshop?

No. What works stays: the invoicing software, the webshop and accounting receive data from the new system. If an off-the-shelf product is enough, we say so.

Do we need an ERP, or is smaller back-office software enough?

If the company is a few people and the trouble is a scattered calendar, notebook and invoicing tool, you get order without an ERP: Back-office software for small firms. With orders, stock and resellers, ERP is the right route.

What happens to our data?

The system works on your own database. Where it runs, who processes the data and the GDPR data processing agreement are set in the contract. If some data must not leave the company, say so at the assessment.
